We collect only the information that is necessary to best serve you with our services you request as a travel business including but not limited to personally identifiable information, such as your e-mail address, name, mailing address, telephone number, ZIP code, age, outdoor recreational interests and favorites.

If you create an account / user profile on this site, your information will be stored for as long as your account exists in your user profile. All users can see, edit, or delete their own personal information at any time (except you cannot change your username). Website administrators can also see and edit that information. You will select a user name and a password so that you can access your account with us at any time you wish. You agree that you will keep this information confidential. You are completely responsible for activities regarding your account and password. You agree to log off of the services at the end of each session to prevent fraud on your account by third parties. Email Correspondence, Email Subscriber List and Email Log

In order to confirm business transactions and communicate information to you, Company of Women Travel uses email communication as their primary correspondence. We will send emails only to customers who have chosen to give us their email address to carry out business transactions and business communications. We do not share your email with anyone else and we do not spam you.

We use Mailchimp to manage our subscriber list. Their privacy policy can be found here. We will send email announcements only to the customers who have chosen to be added to our mailing list. We do not share your email with anyone else and we do not spam you. We also use Easy Forms for Mailchimp to connect our website to our Mailchimp Subscriber List. When you use this site several actions (e.g. commenting) trigger the dispatch of emails. They contain information about you associated with your email address. Data that is a part of these emails depends on the action performed. These emails are stored and accessible to the site management as log and are used for customer service, website management, and security purposes.

Forms and PDF Form Documents

Company of Women Travel uses forms on this website to conduct all of our business transactions, services, and collect important information needed including but not limited to reserving a spot on our trips and collecting the required information we need for you to travel with us at your request, like a health Pre-Screen & Waiver of Liability. All information is kept confidential and only used for conducting our business services to service you our customers. Company of Women Travel does not use or disclose sensitive personal information without your explicit consent.

We use E2PDF to email customers PDF copies of their Trip Registration Form and Pre-Screen & Waiver of Liability Form for their records. Their privacy policy can be found here.

Online Store and Payments

We collect information about you during the checkout process on our online store. Our team members have access to this information to help fulfill orders, process refunds and support you. When you purchase from us, we’ll ask you to provide information including your name, billing address, shipping address, email address, phone number, credit card/payment details and account information like username and password. We’ll use this information for purposes, such as, to:

– Send you information about your account and order
– Fulfill your order: what was purchased, when it was purchased and where it should be sent
– Respond to your requests, including refunds and complaints
– Process payments and prevent fraud
– Set up / update your account for our store
– Estimate taxes and shipping

We will also store comments or reviews, if you choose to leave them in our store.

Contact Forms

If you choose to use contact forms on this site, we only collect, if given by you: name, email, phone number, or any other information required in the form fields. This information is only kept for completing your customer service purposes, and is not used for marketing purposes. When visitors or users submit a form, we capture the IP Address for spam protection. We also capture the email address and might capture other personal data included in the form fields. Comments

When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

Visitor comments may be checked through an automated spam detection service.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here. After approval of your comment, your profile picture is visible to the public in the context of your comment.
